PRIVACY POLICY - PERSONAL DATA AND COOKIES

 1. WHO WE ARE ?
This privacy policy is presented by Hub Institute, a société par actions simplifiées (simplified joint stock company) whose registered office is located at 29 rue d'astorg - 75008 Paris, registered in the Paris Trade and Companies Register under number B 523 594 752. Hub Institute's data protection coordinator can be contacted by post for the attention of the data protection department, or by email at politiquedeconfidentialite@hubinstitute.com.
2. YOUR DATA - TRANSPARENCY AND REGULATORY COMPLIANCE
Hub Institute is committed to data security and the fair and transparent processing of personal data. this privacy statement sets out how we process the personal data you provide to us, in accordance with applicable data protection legislation, in particular the European Union's General Data Protection Regulation 2016/679 (RGPD).
As part of its commercial activity, which is divided into 5 areas of expertise: conferences, reports, networkings, training, learning expeditions, the Hub Institute Company is required to process information about you. For example, by filling in a subscription form, by registering for an event we organize, by browsing our websites or our mobile and digital applications, by clicking on an advertising link we present to you, you transmit information to us, some of which is likely to identify you (“Personal Data”).
This Privacy Policy tells you how we collect and process your Personal Data. Please take the time to read it carefully. We only use your Personal Data in the cases provided for by the law and regulations in force, in particular the RGPD :  
  • Carrying out the tasks you entrust to us, or the contract we have signed with you; 
  • To comply with a legal obligation (e.g. to manage our accounting or tax obligations); 
  • With your consent to the use of your data. At the time of data collection, you will always be informed whether certain data is compulsory or optional; 
  • The existence of a legitimate interest in using your Personal Data, i.e. a set of reasons that justifies the use of your data by Hub Institute. This legitimate interest is mainly to ensure the security of our Site and to improve its features. It is also to be able to send you newsletters, surveys, information on our offers, events and services offered by Hub Institute and likely to interest you. We may also need to carry out commercial prospecting or develop commercial revenues in order to continue to offer quality editorial content and/or maintain certain content free of charge. By agreeing to receive marketing and advertising information from our publications and partners, you are helping to maintain the economic viability of our business as a press publisher. 
 Your individual rights and decisions will always take precedence over Hub Institute's legitimate interests, and we will never use your personal data for commercial purposes against your wishes.
3. WHAT DATA DO WE COLLECT ABOUT YOU AND UNDER WHAT CIRCUMSTANCES DO WE COLLECT IT?
3.1. Data you send us directly
During the various contacts we have with you, you may be asked to provide us with information about yourself. This data is collected when you register for an event, download/access content (videos, articles, etc.), subscribe to our newsletters, place an order on our sites (ticketing, purchase reports, etc.), fill in a contact form, etc.

This data includes : 
  • Name, first name, title Company, Position ; 
  • E-mail address, telephone number, billing address;
  • Identifier and encrypted password used to identify you on our sites or applications;
  • Encrypted payment information (in particular credit card number).
3.2. Data we collect in the course of our business relationship

The data we collect in the course of our business relationship with you includes the following : 
  • Information relating to our commercial relationship - choice of sessions at our events - face-to-face and online 
  • Integration with Hub Institute CRM (newsletters / event and product invitations) 

3.3. Data we collect automatically

Each time you visit our sites and mobile applications, we collect information relating to your connection and browsing. Various technologies may be used to collect this data. We refer to them generically as “cookies”.
- Data collected via cookies
A cookie is a text file deposited when you visit a website, mobile application or online advertisement, and stored in a specific space on the hard disk of your computer or mobile device. Cookies are managed by your Internet browser or the mobile application you use, and only the issuer of a cookie can decide whether to read or modify the information it contains. A cookie has a limited validity period. It is deposited and stored on your terminal in compliance with applicable legislation and subject to the choices you have made, which you may modify at any time, under the conditions specified in article 9 below. 

 A cookie does not identify you personally. It enables its issuer to recognize your terminal and to collect a certain amount of information relating to the browsing carried out from this terminal.

Cookies have several functions, such as enabling you to navigate efficiently on a site or mobile application, remembering your choices and the goods and services you wish to purchase, and offering you relevant advertising content based on your centers of interest as expressed during your browsing. 

The cookies placed by the Hub Institute give us access to the following information in particular : 
  • Type of operating system used by your terminal (Microsoft Windows, Apple Os, Linux, Unix, BeOS, Android, iOS, etc.),
  • Type and version of browser software used by your terminal (Microsoft Internet Explorer, Apple Safari, Mozilla Firefox, Google Chrome, etc.), 
  • Dates and times of connection to our services,
  • Address of the referring web page,
  • Browsing data on our services, content viewed.
- Data collected using standard Internet technologies  
We may also use standard Internet technologies such as scripts, pixels and redirects. Scripts (sometimes called tags), written in javascript language, are programs that run in your browser or mobile application and perform various actions, such as sending information to our servers. Scripts are also capable of creating pixels. Pixels (sometimes called transparent GIFs, clear GIFs or web-bugs) are lines of code that display a graphic image (usually invisible) on a web page or in an e-mail. Redirects make a web page available under several page addresses (URLs). When a browser opens a redirect URL, a page with a different URL is opened.

The aim of these technologies is to improve your experience on our sites and applications, including providing you with personalized content based on your centers of interest. For example, when a user is already known to our database, this enables us to ask him or her to complete the missing fields only.

These technologies give us access to the following information in particular : 
  • Information relating to your use of our sites and applications;
  • Information relating to the presence of cookies on your terminal, the time and date of consultation of a page, and a description of the page on which the Web beacon is placed;
  • Information on whether or not you read the e-mails we send you, and on the clicks you make on the links contained in these e-mails.
3.4. The data we assume
By combining the data we have about you with general, anonymous statistical information, we may be able to make assumptions about the content and services that are likely to meet your tastes or uses.
3.5 Data relating to minors
In principle, our products and services are intended for adults capable of entering into contractual obligations. For users who are minors, we will therefore need to obtain the consent of their legal guardian(s).

For registration on our sites and access to some of our online services (e.g. newsletter), a minimum age of 16 is accepted.
3.6. Third-party data
Before offering our services and products to a third party, you must ensure that the person concerned agrees to the sharing of his/her data (Name, First Name, Position, Company and e-mail address).  
3.7. Exclusion of sensitive data
The following are considered sensitive data : racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, data relating to health or sexual orientation.

Hub Forum does not collect any sensitive data about you.
4. WHAT DO WE USE YOUR DATA FOR?

The data we collect is used mainly to provide you with Hub Forum products and services.
4.1. Operations necessary for the supply of products or services
  • Acknowledgement of your subscription to one of our offers or products;
  • Taking your order into account and executing it. Management of subscriptions to our newsletters and/or e-mail alerts;
  • Invoicing and collection of payments;
  • Customer relations: provision of customer service;
  • Customer satisfaction surveys;
  • Sending information on changes or developments to our services;
  • Management of unpaid invoices and disputes;
  • Management of the exercise of your rights to your personal data;
  • Verification of compliance with applicable legislation, our contracts and general conditions of use.

4.2. Marketing and sales prospecting operations relating to Hub Forum publications, products and services
  • Sending information about our sites, publications and Hub Forum activities;
  • Sending marketing, advertising and promotional offers relating to our products and services, by e-mail, mobile notifications, on social networks or any other medium;
  • Personalized loyalty-building or commercial prospecting actions. 
4.3. Operations linked to commercial partnerships
  • Sharing, exchanging or renting files with commercial partners in compliance with current regulations and security requirements; 
  • Sending marketing, advertising and promotional messages relating to partners' products and services by e-mail, mobile notifications, social networks or any other medium.
4.4 Purposes of storing cookies on your browser 

- Operation and optimization of navigation on our sites and applications
  • Storage of information relating to a form you have filled in on our site (registration or access to your account) or to products, services or information you have chosen on our site (event registration, purchase of our products or services);
  • Automatic connection to reserved or personal areas of our site, such as your account, using identifiers or data you have previously entrusted to us;
  • Provision of sharing tools on social networks;
  • Quality measures to ensure that the display of our content is adapted to your device.
- Traffic and audience measurement
  • Establishment of statistics and volumes of frequentation and use of the various elements making up our site (sections and content visited, path taken) in order to improve the interest and ergonomics of our services;
  • Determination of centers of interest and behavior;
 - Personalization of advertising on our sites and applications
For the time being, Hub Forum and its website in particular operate without advertising. We may modify our advertising policy in the future, so that we can continue to offer free editorial content.
5. HOW LONG DO WE KEEP YOUR DATA?
Your personal data is kept for a period that complies with legal provisions or is proportionate to the purposes for which it was recorded.

Retention periods vary according to whether we have an ongoing contractual relationship with you (you are an active customer), whether we have had a contractual relationship with you in the past (you are an inactive customer) or whether we have never had such a relationship with you (you are a prospect).

The data relating to your browsing of our online services collected by the cookies you have authorized has a specific retention period.
6. WHO MAY HAVE ACCESS TO THE DATA WE COLLECT  ?

6.1. Access to data within Hub Forum

The following may have access to some of your data :
  • Marketing, sales and administrative departments 
  •  Accounting department
Access to your data is based on individual and limited access authorizations. 

6.2. Data transmission

- Event partners
  • Follow-up of interactions, dispatch of additional documents 
Our subcontractors and partners have access to your data on the basis of signed contracts specifying their obligations to protect data security and confidentiality. 
  •  Securing online payments 
  • Personalization of site content and mobile applications 
  • Provision of analytical solutions or audience measurement statistics 

 - Social networking platforms 

The use of social networks to interact with our sites and applications (in particular the “share” buttons on Facebook and Twitter) may lead to data exchanges between HUB Forum and these social networks.
7. YOUR DATA WILL NOT BE TRANSFERRED OUTSIDE THE EUROPEAN UNION 
We store your personal data in the European Union and do not transfer it outside the European Union.
8. HOW IS YOUR DATA PROTECTED ?  

As data controller, we implement appropriate measures to protect your personal data against alteration, accidental or unlawful loss, use, disclosure or unauthorized access, including :   
  • Raising awareness of confidentiality requirements among our employees who may have access to your personal data; 
  • Securing access to our premises and IT platforms; 
  • Securing data access, sharing and transfer;
  • High standards of data protection when selecting our subcontractors and partners. 
9. WHAT ARE YOUR RIGHTS ?

9.1. Your right to access your personal data 

 You have the right to access your personal data and request that it be corrected, completed or updated. You may also request the deletion of your data or object to its processing, provided you can justify this on legitimate grounds. 

You may ask to exercise your right to data portability, i.e. the right to receive the personal data you have provided us with in a structured format and the right to transmit this data to another data controller.

Before responding to your request, we may verify your identity and/or ask you to provide further information in order to respond to your request. We will endeavor to respond to your request within a reasonable time and, in any event, within the time limits set by law. In the event of a response that you consider unsatisfactory, you are informed that you may lodge a complaint with the Commission Nationale de l'Informatique et des LibertĂ©s (CNIL): https://www.cnil.fr/fr/plaintes 

9.2. Your right to object to commercial solicitations

We may use your contact details for commercial solicitations, in accordance with applicable law and the clauses of this privacy policy. You may object to such solicitations at any time.

- Commercial telephone solicitations

We may contact you by telephone to offer you Hub Forum products or services, or to enable us to fulfil and monitor your orders or the contract we have entered into.
